Seek. Study. Serve. University Communications: Print, Web ...

I?ve always been big on education presentations ? I believe it?s one of the easiest and best ways to get in front of your target audience so I was happy to learn that Linda Costas in Development was putting together Lunch and Learns called Seek. Study. Serve. in which different parts of our division, University Relations, would present on our capabilities to one another.

We are a pretty big division and with the incorporation of Public Affairs and University Communications into the mix ? we just got a whole lot bigger.

So when she asked me to give one on the capabilities of our teams, I was happy to oblige. The following is the presentation but I wanted to give a brief overview of the team because I get a lot of inquiries into what is University Communications: Print, Web and Multimedia and how we work.

First, you always need to start with a who you are and why you are here thing. If you don?t know who I am, then check out the About section. I?m here because I love ND, I?m qualified to run these teams (hecklers aside) and they hired me to which I?m grateful.

The UComm: Print, Web and Multimedia teams used to be called AgencyND. In fact, the website is still up ? we are in the process of moving it inside of onmessage.nd.edu. When we did the brand standards last year, we made the decision to not allow internal brands within the university?s administration. They just confuse people as to whether the brand is part of the Notre Dame or not. So AgencyND is no more, but UComm: Print, Web and Multimedia is.

The structure of UComm is still being formed but for right now, we all fall under University Relations then University Communications. There?s a large group of us such as Print, Web, Multimedia, Public Relations, Internal Communications, Crisis, Magazine, etc?

Our four teams within UComm: Print, Web and Multimedia are Accounts, Print Team, Web Team and Multimedia Team.

Accounts or Account Team runs all projects within Print and Web and sometimes for Multimedia but it depends. The Account Team helps with your communication strategy and communicates with you when you need a project done. They handle all correspondence including brainstorming, kick-offs, strategy sessions and invoicing. They are your one-stop contact with UComm.

The Print team handles (you guessed it) print publications and materials. But they also handle some things you might not know about like our overall brand standards, campus map and a big one, content writing (which I can?t put enough emphasis on ? bad writing can destroy a communication piece no matter how pretty you make it).

The Web team does a ton of work for the central administration offices including maintaining nd.edu, emergency, tour, map, mobile, calendar, research and international websites. On top of that, they have built some great web content tools like Conductor, maintain our wordpress blogging system, can help you with analytics, email and digital signage.

The Multimedia team handles all the photography on campus including the website photos.nd.edu, where interested parties can purchase photos. They also handle video (which is not in our cost recovery model and works primarily with public relations).

We also work on social media training ? classes have already begun but we are now in the process of switching it over into the Endeavor system so HR can help with the logistics of rooms and training materials.

Finally, the cost recovery model is how we pay for all the people that help in UComm: Print, Web and Multimedia. A long time ago someone thought it was a good idea for us to start charging for our time. They believed that the unit could put money back into the budget to help offset the costs of running our dept. That was all fine and good when the system was mainly built on few items for the main central communications. And it was great for hiring new talent and getting us running at the level of efficiency for a university communications team. But we are now in process of reviewing this model. It doesn?t mean it is going away right now, we must still charge for our work for this year. But in the future, we may be in a different model.

In summary, here?s a few questions that can be answered by your UComm: Print, Web and Multimedia teams.
